I processed two years of receipts — several hundred — in a single afternoon with AI. And the most important insight wasn’t the speed.
The machine read every receipt perfectly. It still had no idea what any of them meant to me.
What AI handles easily today
Reading receipts and pulling out the fields — vendor, date, amount, currency, VAT — multilingual, with very high accuracy. The “type in the numbers” bottleneck is gone. That work has become a commodity.
Where the real value lives
In the rules that carry your knowledge. For example: which company, which account does this receipt belong to? A receipt addressed to a former company, dated after the switch to self-employment, needs a judgment call — not for speed, but for defensibility with your accountant and the tax office.
The discipline of restraint
Don’t auto-categorize everything. Flag the ambiguous cases and check them yourself. A confidently wrong entry does more damage than an honest “please review”.
For your SMB — in practice
- AI for the volume: extraction, data entry, reading documents.
- Your experience as the decision layer: categorization, rules, judgment.
- Flag uncertainty instead of forcing it.
AI multiplies expert judgment — it doesn’t replace it. The advantage is knowing what the numbers mean, not processing them faster.
